This policy explains what information the WDI inspection app at https://wdi-diagram.pages.dev (the “Service”) collects, how we use it, and your choices.

Who this covers

• Our customers: pest control companies and their team members who use the Service.
• Our customers’ clients: homeowners, buyers, sellers, and real estate agents whose information a customer puts into a report. For this information, the customer decides what’s collected and why. We handle it on the customer’s behalf and follow their instructions. Questions about a specific report should go to the pest control company that did the inspection.

What we collect

• Account information: names, email addresses, roles, company name and license numbers, and a scrambled (hashed) form of your password. We never store the password itself.
• Inspection information you enter: property addresses, inspection answers, diagrams, photos, signatures, issued reports, and the names and email addresses of clients and agents.
• Jobs from connected services: if you connect scheduling software (such as ISN or Spectora), the job details it sends, such as addresses, clients, agents, and dates. Your login keys for those services are stored encrypted.
• Billing: our payment processor (Stripe) collects card details. We see only limited information, such as your plan, payment status, and the last digits of the card.
• Technical information: basic logs such as sign-in times, and error and usage records, used to run and secure the Service. The app stores data on your device so it works without a signal.

How we use it

• To provide the Service: syncing your inspections between devices and team members, building and storing reports, emailing reports when you tell the app to, and pulling jobs from services you connect.
• Photo Identify: when you tap Identify, the photo (and any notes you type) goes to our AI providers, Anthropic (Claude) and Cloudflare Workers AI, to return a suggestion. They process it to produce that result.
• Improving the identifier: we may use photos with personal information removed (no addresses, names, faces, license plates, or report numbers) to train and test our insect identification. Customers can opt out by emailing [SUPPORT EMAIL].
• To give support, handle billing, keep the Service secure, prevent misuse, and meet legal obligations.

We don’t sell personal information, and we don’t use it for advertising.

Who we share it with

• Service providers that run the Service for us:
  • Cloudflare: hosting, database, file storage, AI
  • Anthropic: AI photo identification
  • our email delivery provider
  • Stripe: payments
  They may use the information only to provide their services to us.
• Services you connect: such as ISN, Spectora, or GoHighLevel, only as you set them up.
• People you send reports to: clients, agents, and anyone else you choose.
• When the law requires it, or to protect the Service, our users, or others.
• If our business is sold or merged, in which case this policy continues to apply to your information.

How long we keep it

We keep customer data while the account is active. Issued reports, with their photos and answers, are kept at least 2 years from the date each was issued, as the Texas Department of Agriculture requires, even if the account ends. During that time the customer can still sign in and download them. Other data from an ended account stays available for 30 days so the customer can download it, and then we delete it within 90 days, except where we must keep something longer by law. The app’s download gives a complete copy.

Security

• Traffic is encrypted in transit.
• Stored credentials for connected services are encrypted.
• Access is limited by role: inspectors see only their own inspections.
• Issued reports can’t be altered once issued.

No system is perfectly secure. If we learn of a breach that affects your information, we’ll notify you as the law requires.

Your choices and rights

• Customers can view, correct, download, or delete their data in the app, or by emailing [SUPPORT EMAIL]. Issued reports can’t be deleted until 2 years after they were issued.
• If you’re a customer’s client and want to access or delete information in a report, contact that pest control company. We’ll help them respond.
• Depending on where you live, you may have other rights under privacy law. Contact us and we’ll respond within the time the law requires.

Children

The Service is for businesses and isn’t meant for children under 13. We don’t knowingly collect their information.

Changes

We’ll post updates here and tell customers in the app or by email before material changes take effect.
